Carriage Courts ("the Association", "we", "us") runs this website (carriagecourtshoa.com) and its homeowner portal for the people who live in and own homes in our community. This Privacy Policy explains what information we collect, how we use it, and the choices you have. The website and portal are provided through HOA Booster (hoabooster.com), which stores and processes information on the Association's behalf.
1. Who This Policy Covers
Visitors to the website, homeowners and residents who use the portal, and board members and volunteers who use the Association's tools.
2. Information We Collect
Association records. As a homeowners association we keep records of the homes in the community and their owners: names, property addresses, mailing addresses, email addresses and phone numbers, household members you tell us about, and the account history for each home, such as assessments, payments and balances.
Information you give us. When you sign in to the portal, update your profile, send a message through the Contact us form or the portal, make a request, report an issue, reserve a community resource, upload a document, or choose what to share in the community directory, we keep what you send us.
Payments. If you pay online, your card or bank details go directly to our payment processor, Stripe. We receive confirmation of the payment, not your full card or account number.
Messages, calls and texts. Emails you send to the Association's address, messages from this website and the portal, and texts and voicemails to the Association's community phone number (where we have one) are kept in the Association's inbox on HOA Booster.
Automatic information. Like most websites, our server records the internet address, browser type and pages requested for each visit. We use these records only to keep the site secure and working. We do not use analytics or advertising trackers on this website.
3. How We Use Information
- to run the Association: keep owner records, bill and collect assessments, answer requests and reports, enforce the governing documents, and hold meetings and votes;
- to communicate with you: notices, newsletters, reminders, replies to your messages, and alerts you have asked for;
- to run the portal: sign-in, your account, the directory choices you make, reservations and services;
- to keep the website and portal secure and to meet our legal duties.
4. Who We Share Information With
We do not sell personal information. We share it only as follows:
- HOA Booster, which provides the website, portal, inbox, messaging and record-keeping tools and processes information only as directed by the Association. Its own practices are described in the HOA Booster Privacy Policy at hoabooster.com/privacy. Some incoming messages are sorted automatically on HOA Booster's systems, for example to suggest that an email is a maintenance request; a board member decides what to do.
- Service providers working for the Association or for HOA Booster: Stripe for payments, print and mail services for notices and newsletters, and email and text message delivery services.
- A property management company, if the Association uses one, for the work it does for us.
- Attorneys, accountants and other professionals advising the Association, and authorities when the law, a court order or a government request requires it.
- Other homeowners: only what you choose to show in the community directory, and anything the governing documents or state law require the Association to make available to members.
- Emergencies: to protect someone's health, safety or property.
5. Advertising and Offers
Local businesses may advertise in our newsletter and in sponsor spots and the Coupons & Specials section of the portal. Everyone in the community sees the same advertisements; nothing is targeted to you, and advertisers receive no personal information about you. Views and clicks are counted, once per person per day, only to report totals to advertisers and to detect fraud, and those records are deleted after 12 months. Some offers let you choose to send a business your name, email address or phone number, for example to claim a coupon; you see exactly what will be sent before you send it, and after that the business's own privacy policy applies.
6. How Long We Keep Information
We keep records for as long as you own a home or live in the community, and afterwards for as long as the Association's governing documents, accounting rules or the law require. Inbox conversations are kept for the period the board sets. Server access records are kept for a short period for security.
7. Security
The website and portal use encryption in transit (HTTPS), sign-in protection, and access limited to what each role needs. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
8. Your Choices and Rights
You can update most of your details in the portal, choose what appears in the community directory, choose how you are contacted, unsubscribe from newsletters using the link in each one, and reply STOP to stop texts from the community phone number. Depending on where you live, you may also have the right to ask for access to, correction of, or deletion of your personal information. Some records must be kept by law or under the governing documents even after a request. To make a request, contact us (section 12).
9. Children
The website and portal are for adults. We do not knowingly collect personal information from children under 13; household members under 18 are represented through a parent's or guardian's account.
10. Links to Other Sites
The website may link to other sites, such as an advertiser's site or a payment page. Their privacy practices are their own.
11. Changes to This Policy
We may update this policy. The new version will be posted here with a new "Last updated" date, and we will tell homeowners about significant changes through the portal or by email.
12. Contact Us
Use the Contact us form on this website.
Our community uses HOA Booster to manage association business. Emails you send to our association address, text messages to and from our community phone number, voicemails you leave us, and the information you give us through this website and the homeowner portal are stored and processed by HOA Booster on our behalf. Some messages are sorted automatically, for example to suggest that an email is a maintenance request; this happens on HOA Booster’s own systems, and a board member decides what to do. Your information is not sold. To stop texts from our community number, reply STOP. See HOA Booster’s Privacy Policy at hoabooster.com/privacy, or contact the board with any questions.
